About Us

Climable is a small woman-run nonprofit with a mission to make climate science and clean energy understandable, actionable, and accessible for everyone. Climable’s end goals are energy democracy (public participation in the energy transition) and climate resilience (improved avenues for anticipating, preparing for, and responding to climate disasters). Our main projects focus on 1) clean community microgrid development projects (solar and battery storage) in Environmental Justice (EJ) communities, 2) educational programs for students, children, and adults, and 3) stakeholder engagement and community outreach. We work hard to make sure people and communities are not left behind in the clean energy transition.

Position Description

Climable is seeking a part-time (8-12 hours/week) Program Operations Specialist to support payroll, invoicing, bookkeeping, contracting, and timekeeping. This individual will support our monthly invoicing process and serve as an important resource to our Project Managers by providing regular updates on project spending to date, supporting budgeting, and more. The Program Operations Specialist will also support legal and compliance paperwork, submit annual registration filings, assist with donor acknowledgment letters, and support other operational tasks as needed.

Climable uses QuickBooks Online for payroll, HR, and bookkeeping, Melio for payments, Clicktime for timekeeping, and Salesforce for project and contact management. Experience with each software is not required but the ability to learn quickly and ask good questions is critical to success in the role. Some familiarity with financial or accounting topics is required.

Job Duties/Responsibilities

After onboarding, a strong candidate for this role should be able to complete tasks like the ones below:

  • Consistency and attention to detail: Take the time to learn Climable’s chart of accounts in QuickBooks and correctly and consistently categorize expenses.

  • Timekeeping and project management support: Manage the Clicktime timekeeping system and the invoicing process (including prepping, editing, and reviewing invoices in Google Sheets on a monthly schedule). Generate reports on project spending for each program and provide monthly updates to Project Managers on total project spending, subcontractor spending, and budget status.

  • Problem-solving: Research and solve issues related to subcontractors, payments, or financial discrepancies. Take ownership of maintaining and understanding the subcontractor budget tracking Google Sheet, ensuring it accurately reflects invoices received and remaining budgets. Investigate discrepancies/errors in invoices or financial records by reviewing payment histories, contracts and agreements, and email communications. Document findings and then propose the corrective action.

Qualifications: 

  • Experience and comfort using Quickbooks Online, or have strong attention to detail, the ability to learn, and a familiarity with financial topics.

  • Self-starter and self-motivated.

  • Comfort working with numbers.

  • Strong attention to detail with the ability to check your own work.

  • Ability to manage files using standardized naming conventions and store files in the proper place to maintain and improve the organization on our Drive.

  • Comfort working with spreadsheets in Excel and/or Google Sheets.

  • Interest in HR or comfort working with sensitive information for payroll and benefits administration.

  • Passion for mission-driven, nonprofit work.

Benefits

Details:

  • Hourly pay: $30-34/hour depending on experience

  • Hours/week: 8-12 hours/week

  • Schedule: Very flexible, primarily determined by the person hired for this position. Evening or weekend work outside of traditional office hours, if preferred by the candidate, is allowed.

  • Supervisor: Executive Director

  • Location: Hybrid, with occasional days in the office* no more than once per week. The rest of the work will be completed remotely. Candidates must be located in Massachusetts.

*Note that our mailing address is in Cambridge but our shared office space is in Seaport. This location is subject to change.

Climable uses a flexible hybrid schedule with one day a week (or less) in the office. The person in this role will be expected to be onsite for onboarding and then could transition to a mostly remote role. Candidates must be located in Massachusetts and have a permanent address in Massachusetts.
